Many conference venues cater in-house, which simplifies logistics and liability. External caterers give you more control over menu, style and budget, but you'll need to confirm the venue allows outside catering and what kitchen access, power and corkage rules apply.
For large conferences and gala dinners, three to six months is typical, and peak season (spring and early summer) books out earlier. Smaller working lunches can often be arranged in a few weeks, but menus, dietary requirements and final numbers should be locked well before the event.
Reputable event caterers will ask for dietary breakdowns ahead of time and cater vegetarian, vegan, gluten-free, halal and allergy-specific meals. Always provide final dietary numbers by the caterer's cut-off date and confirm how allergen-safe meals are labelled and served.
