Last updated: 31 July 2026

MICE.co.nz is a free public directory of information for New Zealand’s Meetings, Incentives, Conferences & Exhibitions industry, operated by MDRG Ltd. This Policy explains how we handle personal information under the Privacy Act 2020.

1. Introduction

This Privacy Policy explains how we collect, use, store, and protect personal information when you access or use this website (the “Website”). The Website is a free-of-charge public directory of information relating to the MICE (Meetings, Incentives, Conferences and Exhibitions) industry.

We are committed to handling personal information in accordance with the Privacy Act 2020 (New Zealand) and its Information Privacy Principles.

By using the Website, you acknowledge this Privacy Policy. If you do not agree, please do not use the Website.

2. Who We Are

The Website is operated by MDRG Ltd (“we”, “us”, or “our”). Contact details for privacy matters are set out in section 12.

3. Directory Information Is Drawn From the Public Domain

It is important to understand what the directory contains. Listings about venues, events, suppliers, organisers and other businesses are compiled from publicly available sources — such as public websites, public records and industry information — unless and until the relevant business or property owner claims their listing and verifies or submits the information themselves.

This business and listing information is not the personal information of Website visitors. Where such information originates from the public domain, we act as a directory of that public information and do not accept responsibility for its accuracy, and any business may request correction or verification of its own listing at any time. Business owners who claim and verify a listing are responsible for the information they submit.

Consent by property and business owners. Where you, as a property or business owner (or a person acting on behalf of such an owner), submit, claim, verify, enrich, or otherwise provide any information to the Website or to MDRG Ltd, you expressly acknowledge and agree that such submission constitutes your informed consent, for the purposes of the Privacy Act 2020, to our collection, retention, and use of that information in the course of our business. That consent extends, without limitation, to: (a) using the information for the operation, promotion, and improvement of the Website and our related services; (b) using the information for marketing purposes, and disclosing it to our affiliates and service providers for those purposes; and (c) contacting and communicating with you directly — including the owner and any contact person identified in the submission — by email, telephone, or other means, in relation to your listing, our services, and related offers.

You confirm that any information you submit is provided freely and voluntarily, that you are authorised to provide it, and that it may be retained within our domain. This consent continues until you withdraw it by notifying us, at which point we will cease the relevant use to the extent required by law, subject to any records we are required or entitled to retain. You should not submit information you do not wish to be used in the manner described above.

4. What Personal Information We Collect

We collect only limited personal information, and only where reasonably necessary for the operation of a free public information directory.

Information you provide voluntarily

  • Name, email address, phone number, or organisation details if you submit a contact form, enquiry, feedback, or request to list/correct information.
  • Any other information you choose to include in correspondence with us.

Information collected automatically

  • IP address, browser type, device information, pages visited, time and date of visits, referring website, and general location data (derived from IP).
  • Cookies and similar technologies (see section 7).

We do not require you to create an account to use the directory. We do not knowingly collect sensitive personal information (such as health, biometric, or financial data) through the Website.

5. How We Use Personal Information

We use personal information only for the following purposes:

  • To respond to enquiries, feedback, or requests to correct directory information.
  • To operate, maintain, secure, and improve the Website.
  • To analyse aggregate usage patterns so we can improve the usefulness of the directory.
  • To comply with legal obligations or respond to lawful requests.
  • To protect our rights, property, or safety, or that of others.

We do not sell personal information. We do not use personal information for targeted advertising beyond basic analytics of Website usage.

6. Disclosure of Personal Information

We may disclose personal information only in these limited circumstances:

  • To service providers who assist us in operating the Website (e.g. hosting, email delivery, analytics), under contracts that require them to protect the information and use it only for the purposes we specify.
  • If required by law, regulation, court order, or governmental request.
  • In connection with a business transfer (e.g. sale or restructure of the operator), provided the recipient agrees to handle the information consistently with this Policy.
  • With your consent, or where you have directed us to share it (for example, when forwarding an enquiry to a venue or organiser at your request).

We do not disclose personal information to third parties for their own marketing purposes.

7. Storage, Security and Retention

Personal information is stored on secure servers (which may be located in New Zealand or overseas). Where information is held overseas, we take reasonable steps to ensure it is protected to a standard comparable to the Privacy Act 2020.

We implement reasonable technical and organisational security measures to protect personal information against loss, unauthorised access, use, modification, or disclosure. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

We retain personal information only for as long as is reasonably necessary for the purposes set out in this Policy, or as required by law. Enquiry records are typically retained for a limited period and then deleted or anonymised.

8. Cookies and Analytics

The Website may use cookies and similar technologies to:

  • Ensure the Website functions properly.
  • Understand how visitors use the site (e.g. pages viewed, time spent) through analytics tools.

You can control or delete cookies through your browser settings. Disabling cookies may affect some functionality of the Website. We use analytics data in aggregate form and do not attempt to identify individual users from it unless necessary for security or legal reasons.

9. Your Rights under the Privacy Act 2020

Under the Privacy Act 2020 you have the right to:

  • Request access to the personal information we hold about you.
  • Request correction of personal information that is inaccurate, incomplete, or out of date.
  • Be informed about how your information is being used.
  • Lodge a complaint with the Office of the Privacy Commissioner if you believe we have breached the Act.

To exercise these rights, contact us using the details in section 12. We will respond within the timeframes required by the Privacy Act 2020. We may need to verify your identity before processing a request.

10. Children’s Privacy

The Website is not directed at children under 16. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us and we will take steps to delete it.

11. Links to Third-Party Websites

The Website contains links to third-party websites (venues, event organisers, suppliers, etc.). This Privacy Policy applies only to our Website. We are not responsible for the privacy practices of any third-party sites. We recommend you read their privacy policies before providing any personal information to them.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. The updated version will be posted on the Website with a revised “Last updated” date. Continued use of the Website after changes constitutes acceptance of the updated Policy. We encourage you to review this Policy periodically.

13. Contact Us

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner (New Zealand) at privacy.org.nz.

14. Governing Law

This Privacy Policy is governed by the laws of New Zealand. Any disputes arising in connection with this Policy will be subject to the exclusive jurisdiction of the New Zealand courts.
