Event styling, theming and set design companies in New Zealand

MICE editorial — 31 August 2026 Tier A

Who designs, themes and dresses New Zealand conference and gala spaces — and how to brief a styling partner properly.

Event styling is the layer that turns a bare function room into a branded gala, an awards night or a themed conference plenary. In New Zealand it is a distinct discipline from AV: stylists handle set build, drape, florals, furniture, props, staging dressing and the overall visual concept, while AV handles sound, screens and lighting rigs. On larger events the two work side by side.

MICE currently lists 21 New Zealand staging, styling and set-design companies, alongside a wider pool of 157 New Zealand AV, lighting, staging and event-technology providers across the directory.

Who does this work in New Zealand

Auckland has the deepest bench, including Event Styling Co, Event Impressions, Standout Design, Centrepiece, Colab Projects, EventVision and Finesse Entertainment.

Christchurch is the other main hub, with Kim Chan Events, Season Event Design, Theme Productions and Exhibition Hire Services.

Regional and nationwide operators include Hirestage (Nelson), Cheers Weddings & Events (Whangārei), and nationally-operating specialists Wild Apricot Creative Events, The Set Designer and Stage Left Event Solutions.

What a styling company actually delivers

Most scopes fall into a few buckets:

  • Concept and design — mood boards, floorplans, renders and a visual language tied to your theme or brand.
  • Set and stage build — lecterns, backdrops, brand walls, riser dressing, entry portals.
  • Soft furnishings and drape — ceiling drape, wall masking, breakout lounge furniture.
  • Florals, props and table styling — centrepieces, linen, chargers, signage.
  • Install and pack-out — bump-in and bump-out inside the venue's access window.

How to brief one well

Start with the venue, not the theme. Ceiling height, rigging points, load-in access and the venue's own restrictions shape what is buildable — so lock your space via the venues directory or by capacity first, then brief the stylist.

Give them three things up front: the room and its floorplan, the delegate numbers and format (theatre, cabaret, banquet, cocktail), and the outcome you want the room to communicate. A stylist who knows you need 400 people fed and a 20-minute room flip from plenary to gala will design very differently from one told only "make it look premium".

Ask who is responsible for bump-in timing and whether the quote includes install labour, freight and pack-out — those line items are where scopes most often drift.

Where styling sits in the wider plan

On a full conference, styling is usually coordinated by your PCO or DMC, sequenced around delegate transport and any offsite team building or social programme. If you are running a multi-venue programme, brief one styling partner across all of it — visual consistency across the week is far harder to retrofit than to plan.

Frequently asked

What is the difference between an event stylist and an AV company in New Zealand?

An event stylist handles the visual and physical build — set, drape, florals, furniture and props. An AV company handles sound, screens, projection and lighting. On larger conferences both are engaged and work to a shared floorplan and bump-in schedule.

How many event styling and set design companies does MICE list in New Zealand?

MICE lists 21 New Zealand staging, styling and set-design companies, within a wider pool of 157 New Zealand AV, lighting, staging and event-technology providers.

Which New Zealand cities have the most event styling companies?

Auckland has the largest concentration, followed by Christchurch. Nelson, Whangārei and several nationally-operating specialists cover the rest of the country.

Should I book the venue or the stylist first?

Book the venue first. Ceiling height, rigging points, load-in access and venue restrictions determine what can actually be built, so a stylist can only design accurately once the space is confirmed.

What should be included in an event styling quote?

Confirm whether concept and design work, install labour, freight, and pack-out are all included, and who owns the bump-in and bump-out timing with the venue. These are the most common sources of scope drift.
