MICE lists 55 coach and bus charter operators across all 16 New Zealand business-events regions. Here's who runs where, and how to size a fleet.
MICE lists 55 coach and bus charter operators across New Zealand, and every one of the 16 main business-events regions in the directory has at least one. Coach charter is the default tool for moving a conference: arrivals in waves from the airport, a fixed hotel-to-venue loop each morning, and offsite dinners or field trips where the whole group travels together.
If your programme crosses regions, a multi-branch operator simplifies contracting. Tranzit Coachlines is listed in Wellington, Taupō and Hawke's Bay. Ritchies Transport appears in Whangārei, Queenstown, Invercargill, Blenheim and Ashburton. Go Bus is listed in Hamilton, Dunedin and Invercargill, and Rambler Coachlines in both Invercargill and Dunedin. Kiwi Coaches shows up in Auckland, Wellington, Rotorua and Whangārei.

Work backwards from your session end time, not your start time. A single full-size coach clears a few dozen delegates per run; the question is how many runs you can fit into the gap between the last plenary and the dinner service. Two coaches on a tight loop usually beat one coach doing double duty, because the second vehicle absorbs the stragglers without pushing the whole schedule right.
Also confirm accessibility early. Not every charter fleet carries a wheelchair-accessible vehicle, and substituting one at short notice is difficult in the smaller regions.
For groups under about 20, or for arrivals spread across a whole day, a shuttle or van operator is usually the better fit. For speakers, sponsors and VIPs travelling on their own schedule, use a chauffeur service instead. Both categories are listed under transport, alongside the venues they'll be running to.

Coaches suit whole-group movements on a fixed schedule, such as a hotel-to-venue loop or an offsite dinner. Shuttles and vans suit smaller groups and arrivals spread across the day, where delegates land at different times.
Book as early as your venue and dates are confirmed. Fleet availability is the binding constraint in smaller regions, where a single operator may hold only a handful of full-size coaches, and peak conference season competes with school and tour charters.
Availability varies by operator and region, and not every charter fleet carries an accessible vehicle. Confirm accessible capacity at the time of booking rather than close to the event, as substitutions are hard to arrange at short notice outside the main centres.
