How to plan a conference in New Zealand

MICE editorial — 04 November 2026 Tier A

A step-by-step guide to planning a New Zealand conference: destination, venue, PCO, transport, catering and AV, with the real suppliers behind each.

Planning a conference in New Zealand: the short version

New Zealand hosts business events across 16 main centres, from Auckland and Wellington to Christchurch, Queenstown, Dunedin and Whangārei. A well-run conference comes down to five decisions made in roughly this order: destination, venue, professional support, logistics, and the programme. Here is how each works, and where to find the suppliers who deliver them.

1. Choose a destination and venue

Start with your delegate numbers, your budget and the experience you want delegates to have. New Zealand has 25 dedicated convention and event centres — including the SkyCity Auckland Convention Centre, the Aotea Centre, the Takina Wellington Convention and Exhibition Centre and the Dunedin Centre & Town Hall — alongside hundreds of hotels, wineries, museums and unique spaces. Browse options by city in the venue directory, or filter rooms by delegate numbers and seating style on the capacity search.

2. Appoint a PCO

For a multi-day programme or anything beyond about 150 delegates, a professional conference organiser (PCO) usually pays for itself. They manage registration, venue liaison, the budget, speakers and the run sheet. New Zealand lists more than 240 PCOs, DMCs and event-management companies, among them Conference Innovators, The Conference Company, Composition and Consec. Compare them under PCOs & DMCs.

3. Plan transport and accommodation

Delegates need to move between the airport, hotels, the venue and off-site functions. There are 198 transport operators listed — from coach fleets such as Tranzit and Ritchies to chauffeur and shuttle services like Corporate Cabs and SuperShuttle — on the transport directory. Block-book accommodation as soon as dates are set, since room availability drives most venue decisions.

4. Catering and AV

Food and production shape the delegate experience more than any brochure. New Zealand has 261 event caterers and around 240 audiovisual, staging and lighting companies — Collective Hospitality, NOSH Catering + Events, Vidcom and Encore Event Technologies among them. Find them under catering and equipment & AV.

5. Build the programme

Delegates remember the social programme and partner activities as much as the sessions. New Zealand has more than 500 team-building and group-activity operators spanning cultural, culinary, creative and adventure experiences — see activities. For reward and incentive add-ons, browse incentives.

A rough timeline

  • 12–18 months out: destination, venue and PCO
  • 9–6 months: speakers, programme, accommodation blocks
  • 6–3 months: catering, AV, transport, social programme
  • Final weeks: run sheet, registrations, final numbers

Frequently asked

How far in advance should I start planning a New Zealand conference?

For a multi-day conference of 150 or more delegates, start 12 to 18 months out to secure a major venue and enough accommodation. Smaller meetings can be organised in a few months.

Do I need a PCO to run a conference?

Not for a small meeting, but for larger multi-day events a professional conference organiser manages registration, venue liaison, budgets and logistics. New Zealand has more than 240 PCOs, DMCs and event-management companies to choose from.

Which New Zealand cities are best for conferences?

Auckland, Wellington, Christchurch, Queenstown and Dunedin have the largest dedicated convention and event centres, but business events run across all 16 main centres.

How do delegates get around during a conference?

Through New Zealand's 198 listed transport operators — coaches, shuttles and chauffeur services that handle airport transfers, venue shuttles and off-site dinners.
