How to plan an awards night in New Zealand

MICE editorial — 04 November 2026 Tier A

How to plan a corporate or industry awards night in New Zealand: venue, staging, AV, catering and run sheet, with the real suppliers behind each.

What makes an awards night different

An awards evening is part gala dinner, part stage show. Three things carry it: a room that seats everyone for dinner with a clear line of sight to the stage, professional audiovisual and staging, and a tightly run programme. Plan those three well and the rest follows.

Choose a venue with banquet seating and a stage

Awards dinners need a space rated for your guest count in banquet (seated) style, with room for a stage and screens. New Zealand has 25 dedicated convention and event centres — such as the SkyCity Auckland Convention Centre and the Takina Wellington Convention and Exhibition Centre — plus hotel ballrooms and unique spaces. Filter venues by banquet capacity on the capacity search, or browse the venue directory.

Get AV and staging right

The awards reveal lives or dies on production — stage, screens, lighting, sound and show-calling. New Zealand lists around 240 audiovisual, staging and lighting companies, including Vidcom, Oceania Productions and The Production Agency, plus staging specialists such as Centrepiece and Stagekings. Find them under equipment & AV.

Cater for a seated dinner at scale

A plated dinner for a large room needs a caterer used to working at volume. Among the 261 event caterers listed are Collective Hospitality, Design Cuisine in Napier and Continental Event Catering in Christchurch. Compare them under catering.

Build the run sheet and entertainment

Keep the formal awards to a tight block and intersperse categories with dinner courses and short entertainment. A professional MC keeps the pace, and between-category acts can come from New Zealand's 500-plus activity and entertainment operators on the activities directory. For a large production, an event organiser or PCO can run the whole show — more than 240 are listed under PCOs & DMCs.

Transport for guests

Move guests between hotels, the venue and any after-party smoothly with one of New Zealand's 198 listed transport operators — coaches, shuttles and chauffeur services. See the transport directory.

A rough timeline

  • 6–9 months out: venue and date
  • 4–6 months: AV and production company, caterer, PCO
  • 6–8 weeks: run sheet, MC, entertainment, transport
  • Final week: rehearsal, final numbers and AV check
